Adding assets to a room

You can assign a folder from the asset repository to a room. The room displays the assets as a list either above or below the room content. The list can contain either the assets in just the folder or all the assets within all the folders in the selected folder.

For best performance, do not assign a folder that contains more than 30,000 assets to a room. Folders with more than 30,000 assets require much more time to load when a patron selects the room. If you expect your system to be used heavily by patrons, you may want to limit the assets in a room to even fewer.

If you have enabled authentication for the profile, assets will not appear in the room until the user has logged in. The assets will disappear from the room when the user logs out.

You add assets to a room on a per profile basis: the assets appear in the room only in the profile you have selected. In any other profile where the room appears, the room will not contain the same asset list unless the assets are manually assigned that room in that profile as well.

Assets can be assigned to rooms that you create as well as to rooms that contain SirsiDynix-created content. Any room in the hierarchy can contain assets, including home rooms.

The status of the folders and assets assigned to the room determines if the assets are actually displayed. If the folder you assign has a Staged or Hidden status, none of the assets will appear. If the status is Published, all assets in the folder that have a Published status will appear. If you have enabled subdirectories, only the children of Published subdirectories will be included; the assets in a Published subdirectory of a Staged or Hidden directory will not be displayed. For more information about the Published, Staged, and hidden statuses, see Fields: Add/Edit Asset and Fields: Add/Edit Folder.

Note: All of the assets in the folder will be available in the room. Whether a patron can view an asset depends on the access level and accountability assigned to the asset and the access level and accountability assigned to the patron.
